Reinstalling and Reactivating QuickBooks Desktop 2023

When QuickBooks Desktop 2023 reaches its sunset date on May 31, 2026, online services like banking feeds and payroll will stop, but the software itself will keep running. To ensure your accounting workflow survives long-term, you need a strategy for reinstalling and reactivating the software without relying on Intuit's support or forced upgrades.
Archive Your 2023 Essentials Now
The most critical step for long-term Desktop survival happens before you ever need to reinstall. You must create a local, offline archive of your installation files and credentials. If Intuit eventually pulls the 2023 download links from their servers, you will not be able to recover the software without your own backup.
Gather and store the following in a safe, offline location (such as a USB flash drive or an external hard drive):
- License and Product Numbers: Your 30-digit license number and 7-digit product number (found under Help > Manage My License or in your original purchase confirmation email).
- Installation File: The
QuickBooksDesktop2023.exeinstaller file. If you only have installation CDs, use them to install the software on a current PC, navigate to the downloaded setup files, and copy the digital executable to your USB drive. - Company File Backups: Regularly create a portable company file (

Moving to a New PC
Installing QuickBooks Desktop 2023 on a new computer follows the same process as any other version. Once the installation is complete, do not open the software just to check for updates. Handling Reactivation

If the automatic online check fails, an activation window will pop up providing a phone number and a prompt to enter a validation code. This initiates the manual phone activation process. You will provide your license number to the automated system, receive a validation code in return, and enter it into the software. Because the future availability of this phone system is uncertain, keeping your 2023 installation untouched on your original, currently-activated PC is highly recommended.

To bypass the reactivation hurdle entirely, consider creating a full system disk image of your current, fully activated QuickBooks machine.
Using disk imaging software (like Macrium Reflect, Clonezilla, or native Windows backup tools), take a complete snapshot of your C: drive. This image captures the operating system, your installed QuickBooks Desktop 2023, and its current "activated" state. If your hardware ever fails, you can restore this exact image onto a new hard drive or an identical motherboard setup. Because the system state is preserved bit-for-bit, QuickBooks will typically boot up already activated, completely bypassing the need to contact Intuit's servers.
Store this disk image file on an external drive alongside your archived installer and license numbers. This ensures you can restore your entire accounting environment to exactly how it works today, no matter what happens after the May 2026 sunset.
