QuickBooks Desktop 2023 is a robust release, but like all Desktop versions, its live support and add-on services (including subscription payroll) carry a sunset date of May 31, 2026. If you want to keep using QuickBooks Desktop 2023 indefinitely after that date, or if you simply want to stop paying recurring subscription fees before then, you can run your payroll manually. This allows you to keep all your financial data localized in your Desktop file without relying on Intuit's connected services.
Enabling Manual Payroll in Desktop 2023
By default, QuickBooks Desktop hides the manual payroll option to encourage users to activate a paid subscription. To unlock it so the software stops prompting you to sign up, you need to access the Help system's hidden setup tool. This process is identical across recent Desktop versions:
- Go to the Employees menu and select Payroll Setup.
- Scroll to the bottom of the window and click the link that says Learn about payroll options or Set my company file to use manual calculations (the exact wording varies slightly depending on the exact release build of 2023 you have installed).
- A QuickBooks Help window will open. Look for a link that says Manual payroll calculations and click it.
- Click the link that states Set my company file to use manual calculations.
Once enabled, QuickBooks will stop trying to push you toward a subscription. When you add or edit a paycheck, the system will no longer pull automated tax tables, allowing you to input the numbers yourself.
Where Do the Tax Figures Come From?
When you operate QuickBooks Desktop on a manual basis, the software essentially becomes a sophisticated ledger for your payroll. It will not calculate federal or state income tax withholdings, Social Security, or Medicare automatically. You have two primary options for sourcing these figures:
- IRS Publications and State Agencies: You can calculate the withholdings manually using the standard tax tables provided in IRS Publication 15 (Circular E) and your state's revenue department guidelines.
- External Payroll Services: You can use an external, standalone payroll calculator or a third-party service to crunch the numbers. You simply take the gross pay, taxes, and net pay calculated by the outside service and type them into QuickBooks.
Recording Externally-Run Payroll
If you use an outside service but want your Desktop 2023 file to reflect accurate expense and liability balances, you must record the payroll manually. The cleanest way to do this is to write standard checks in QuickBooks and break down the amounts by account.
- Go to Banking > Write Checks.
- Select your payroll bank account and choose the employee as the payee.
- Enter the net pay amount in the check total.
- In the Expenses tab below, distribute the funds to the appropriate accounts:
- Gross Wages: Enter the total gross pay as a negative number, assigned to your payroll expense account.
- Tax Liabilities: Enter each withheld tax (Federal Income Tax, Social Security, Medicare, State Tax) as positive numbers, assigned to their respective payroll liability accounts.
- Employer Taxes: If you are paying employer-side taxes out of this same check, add those as positive amounts to the liability accounts as well.
When the negative gross wage and positive tax liabilities are added together, they should equal the net pay of the check. This keeps your chart of accounts perfectly balanced for tax remittance and end-of-year reporting.
Generating Year-End Forms (W-2s and 1099s)
Because you are tracking the wages and tax liabilities within QuickBooks, Desktop 2023 retains the ability to print year-end forms. However, you will not have access to Intuit's automated e-filing service without a paid payroll subscription. You must print the forms on pre-printed red W-2 Copy A forms for the SSA, and standard white paper for employee copies. QuickBooks will map the data you manually entered throughout the year directly onto these forms.
