QuickBooks Desktop 2021 is officially the last one-time-purchase (non-subscription) release of the software. Although Intuit discontinued services and live support for this version on May 31, 2024, the program itself continues to run indefinitely. If you want to keep using Desktop 2021 without paying for a recurring payroll subscription, you can manage your payroll manually. Here is how to keep your payroll running locally.
Enabling Manual Payroll
By default, QuickBooks tries to guide you toward purchasing a payroll subscription. To bypass this and enter your own data, you need to toggle the manual payroll setting. This process is identical across recent Desktop versions:
- Go to Employees, then select Payroll Setup.
- QuickBooks may prompt you to sign up for a payroll service. Look for the option to continue without a subscription, or navigate to Help and search for the manual payroll setup quickbooks.
- In the help window, select the link that says "Set my company file to use manual calculations."
- Close the help window and return to your company file.
QuickBooks will no longer attempt to pull live tax tables. Instead, it allows you to manually input the figures for each paycheck.
Where the Tax Figures Come From
When you enable manual calculations, QuickBooks will not calculate federal or state taxes for you. It simply provides the framework to record your payroll. You are entirely responsible for the math.
You will need to source your tax rates from:
- Federal Income Tax: Use the IRS Publication 15 (Circular E) and Publication 15-T to determine the correct withholding amounts based on your employees' W-4 forms.
- FICA (Social Security and Medicare): Apply the current fixed percentages and annual wage bases.
- State and Local Taxes: Refer to your state’s department of revenue or taxation website for the current withholding tables.
Because these rates change annually, you must update your manual calculations at the beginning of each new calendar year.
Recording Externally Run Payroll
If you use an outside service (like a local accountant or a third-party processor) to calculate your paychecks and taxes, you still need to record those transactions in QuickBooks Desktop to keep your books accurate.
The most reliable way to do this is to use Journal Entries:
- Go to Company > Make General Journal Entries.
- Debit the appropriate salary or wage expense accounts for the gross amounts.
- Debit the company portion of payroll taxes (Employer Medicare, Social Security, FUTA, SUI).
- Credit the payroll liability accounts for the taxes withheld (Employee Federal/State income tax, Employee FICA).
- Credit the Cash or Checking account for the net pay (the actual amount paid to the employee).
Alternatively, you can use the Accounting method in the QuickBooks Payroll Setup to map your expense and liability accounts, allowing you to write standard checks to your employees while manually entering the deductions on the check itself.
Maintaining Your 2021 File Long-Term
Running manual payroll means your data is entirely self-contained, which is ideal for a discontinued version. However, you must protect that company file. If your .qbw file becomes damaged, Intuit will no longer provide support or automated data recovery services for 2021. Ensure you are making manual, local backups (creating a .qbb file) to an external or network drive after every payroll run. If you ever encounter a corruption issue, such as a Verify/Rebuild error or damaged target chaining, you will need to rely on independent QuickBooks file repair services to recover your historical payroll data.
