QuickBooks Desktop 2020 Offline: Running It After Sunset

QuickBooks Desktop 2020 services ended May 31, 2023. Learn what still works, what to replace, and how to freeze your install to run offline forever.

If you are running QuickBooks Desktop 2020, your software officially reached the end of its supported lifecycle on May 31, 2023. For many users, this "sunset" date triggered fears that the software would simply stop working. It will not. Your license is permanent, and the core accounting engine will continue to run indefinitely. However, to keep Desktop 2020 alive and fully functional long-term, you need to freeze your environment and replace the external services that Intuit shut down.

What Stopped Working on May 31, 2023

When QuickBooks Desktop 2020 was discontinued, Intuit turned off the servers and security certificates that handle connected features. Since that date, the following are no longer available:

  • Live technical support from Intuit for this version.
  • Security updates and patches. The software will no longer receive critical fixes from Intuit.
  • Add-on services, which includes QuickBooks Payroll, Online Banking (Bank Feeds), Payments, and QuickBooks Time. You cannot process credit cards or run automated payroll directly through the 2020 software.

What Keeps Working Indefinitely

The good news is that the core accounting program is entirely self-contained. As long as your computer hardware survives, you can continue to:

  • Create, edit, and delete invoices, estimates, and sales receipts.
  • Manage accounts payable and write checks.
  • Reconcile bank and credit card accounts manually.
  • Generate standard and custom reports.
  • Maintain your complete company file history.

The Freeze-and-Replace Checklist

To ensure QuickBooks Desktop 2020 runs forever without interruption, you need to lock down your current setup and find manual workarounds for the disconnected services.

1. Block Forced Updates

Intuit occasionally pushes updates that can break or alter unsupported versions. Because you no longer receive security patches, applying unexpected updates can cause instability. Go into your QuickBooks preferences and turn off automatic updates. If you are running the software on a machine that connects to the internet, consider blocking the QuickBooks executable through your Windows Firewall to ensure it cannot phone home.

2. Replace Bank Feeds with Manual Imports

Direct bank feeds are dead, but you do not have to type transactions by hand. Most banks and credit card companies allow you to export your transaction history. You can download these files and import them directly into Desktop 2020. QuickBooks natively supports WebConnect (.qbo) files, and you can use the CSV import tool for standard spreadsheet exports. If your bank only provides unique or incompatible formats, you may need to convert those files before bringing them into QuickBooks.

3. Switch to Manual Payroll

Since QuickBooks Payroll services no longer connect to the 2020 version, you must transition to manual payroll calculations. You can still use QuickBooks to print checks and track liabilities, but you will need to calculate the tax withholdings yourself using standard tax tables, or use an independent payroll provider and simply record the finalized checks as journal entries in QuickBooks.

4. Preserve Your Installation Files

Your biggest long-term risk is hardware failure. If your hard drive crashes, you cannot simply re-download the 2020 installer from Intuit's servers. Locate your original installation files or CD, along with your license and product numbers, and keep them backed up on an external drive. If you ever lose access to your installation media, you will need a reliable source to downgrade or convert QuickBooks to get your environment running again on new hardware.

5. Protect the Company File

Without security updates, your company file is vulnerable to corruption from unexpected crashes, power outages, or network glitches. Set QuickBooks to create a local backup every time you close the company file. Store these backups on a separate physical drive. If a backup fails or your file becomes unstable, a professional QuickBooks Desktop file repair service can usually extract the data and rebuild the structural integrity of the file without requiring an upgrade.

Next Steps

Establish your manual import routine and test your local backups today. Verify that you can successfully restore your company file from a recent backup to an alternate location, ensuring your data is safe regardless of what happens to the primary machine.

Keep going

Your Desktop doesn’t have to end when Intuit says so.
