When Intuit discontinued live support and updates for QuickBooks Desktop 2019 on May 31, 2022, the software itself didn't stop working. Your installation still has all the tools it needs to share a company file across your local network. The challenge is that you now have to manage the network infrastructure, hosting settings, and error troubleshooting entirely on your own. Here is how we keep 2019 running smoothly in a multi-user environment without relying on Intuit's servers or support channels.
The Same-Version Rule
The most critical rule for a stable QuickBooks network is that every computer must be running the exact same version and release of the software. If one workstation is on QuickBooks Premier 2019 R5, and the host is on R7, they will refuse to communicate, often throwing unpredictable errors. Because automatic updates are effectively cut off, you must manually apply the latest 2019 release patch to every machine on the network to ensure they match perfectly.
Hosting Configuration
Multi-user mode relies on one computer acting as the host. This is usually the machine where the company file physically lives, or a dedicated server.
To configure hosting correctly:
- On your server or host computer, open QuickBooks and go to File > Utilities.
- Verify that Host Multi-User Access is selected. (If you only see an option to "Stop Hosting Multi-User Access," you are already hosting).
- On every other workstation that needs to access the file, ensure this same setting is turned off. Only one computer should be hosting.
Using the Database Server Manager
QuickBooks Desktop 2019 includes a vital background tool called the QuickBooks Database Server Manager (QBDSM). This tool monitors the network folder containing your company file and manages the traffic between the host and the workstations.
To ensure your file is shared properly:
- Open the Start menu on your host computer and search for QuickBooks Database Server Manager.
- Go to the Folder tab and select Scan.
- Ensure the folder containing your
.qbwfile is listed. If it is not, click Add Folder, browse to the correct directory, and start the scan. - Once the scan completes, QBDSM will confirm that the company file is configured for multi-user access. Run this scan any time you move your company file to a new folder.
Firewall Configuration
When live support ended, so did automatic firewall updates tailored for newer operating systems. If your Windows Defender Firewall or third-party antivirus blocks QuickBooks, you will experience dropped connections. You must manually configure your firewall to allow QuickBooks 2019 through.
You need to create inbound and outbound rules allowing the following executable files through the firewall:

Additionally, ensure the following network ports are open for QuickBooks 2019 specifically:
- Port 8019 (used for data exchange)
- Ports 56728 through 56731 (dynamic ports specific to the 2019 version)
Resolving H-Series Errors
When multi-user mode breaks in QuickBooks 2019, it almost always presents as an H-series error (such as H202, H505, or H303). These errors mean a workstation is trying to access the file but cannot establish a connection to the host's database.
If you encounter an H-series error:
- Verify Hosting: Double-check that only the host machine has hosting turned on.
- Ping the Host: Open Command Prompt on the workstation and ping the host computer's IP address to ensure basic network connectivity exists.
- Restart the QBDSM Service: Open Windows Services (
services.msc), right-click QuickBooksDB29 (the database service for version 2019), and select Restart. - Move the File: If the file is sitting on a desktop or in a deeply nested user folder, Windows permission conflicts can block access. Create a generic folder directly on the host's C: drive (e.g.,
C:\QBData), move the company file there, share that specific folder, and run a fresh Database Server Manager scan.
