QuickBooks Desktop 2017 Verify and Rebuild Data Guide

Keep your unsupported QuickBooks Desktop 2017 company file healthy. Learn how to run Verify and Rebuild Data to catch and fix file damage without upgrading

When Intuit discontinued service for QuickBooks Desktop 2017 (with official sunset on May 31, 2020), live technical support and automatic updates ceased. Because you will no longer receive engine patches from the developer, the health of your company file is entirely in your hands. Regularly running the built-in Verify Data and Rebuild Data utilities is the most effective way to catch structural damage early and keep your 2017 software running reliably for the long haul.

Running Verify Data

The Verify Data utility scans your company file for structural inconsistencies, damaged lists, and transaction errors. It operates identically across QuickBooks Desktop editions, so the process in Pro, Premier, and Enterprise 2017 is the same.

1. Open your company file in QuickBooks Desktop 2017.
2. From the top menu, select Window and choose Close All to ensure no other tasks are actively locking the database.
3. Click File, hover over Utilities, and select Verify Data.
4. Allow the tool to scan your file. Depending on the size of your database, this may take several minutes.
5. Review the results. If QuickBooks detects no problems, no further action is needed. If it alerts you that your data has failed the integrity check, proceed to the Rebuild utility.

Running Rebuild Data

When Verify reports damage, the Rebuild Data utility is your first line of defense. It attempts to automatically repair the compromised data structures.

1. Click File, hover over Utilities, and select Rebuild Data.
2. QuickBooks will prompt you to back up your company file. Do not skip this step. Because Rebuild rearranges database structures, there is always a risk of data alteration. Save this backup to a local or network drive.
3. Once the backup is complete, the Rebuild process will begin. A progress bar will appear—do not cancel the process or use your computer for other intensive tasks until it finishes.
4. When the Rebuild is complete, run Verify Data one more time to confirm that the errors have been resolved.

When Rebuild Data Is Not Enough

The built-in Rebuild utility is powerful, but it cannot fix every type of corruption. If you run Rebuild and the subsequent Verify Data scan still reports errors—or if the Rebuild tool crashes or stalls—you need a different approach.

First, try restoring the backup you created immediately before running Rebuild. Sometimes a stalled Rebuild leaves the working file in a worse state, and starting fresh from a clean backup is safer. If the restored backup also fails to verify, you can attempt manual troubleshooting, such as sorting your lists (like the Chart of Accounts or Customer Center) to locate and manually merge damaged entries, or re-entering specific transactions that trigger errors when saved.

If manual fixes and repeated Rebuilds fail to clear the structural damage, the file requires deeper intervention. For heavily corrupted company files that native tools cannot repair, you may need professional QuickBooks Desktop file repair to rebuild the database architecture and recover the data safely.

Long-Term Maintenance for Unsupported Versions

Because QuickBooks Desktop 2017 no longer receives updates, you must be proactive. Make it a habit to run Verify Data at least once a month, or immediately after entering a large batch of transactions. Always maintain rotating backups—keep at least three generations of backups (such as one on your local hard drive, one on an external USB, and one on a network drive) so that if a Verify scan uncovers severe corruption, you have a known-good file to fall back on without losing weeks of data.
