If you are still running QuickBooks Desktop 2020, you are operating a sunsetted version—Intuit discontinued its live services, including payroll and banking connections, after May 31, 2023. As your company file continues to grow year over year, you may notice performance slowdowns or face size limits. Condensing the file can remove old, historical data to streamline your database, but it is a major structural change that must be done carefully on an unsupported version.

Understand the Irreversibility of Condensing

The Condense Data utility permanently alters your company file. It removes old, closed transactions and replaces them with generic journal entries that preserve your overall account balances. Because the individual transaction details (like specific invoice line items or expense receipts) are stripped away, you can no longer pull detailed historical reports for those condensed periods.

This process cannot be undone. If you later realize you need granular details from a condensed year, the data is gone from your active file. You must be absolutely certain that you no longer need detailed transaction-level reporting for the periods you intend to condense.

Create a Pre-Condense Archive Backup

Because condensing is irreversible, creating a safe archive backup is the most critical step in this entire process. Do not skip this, and do not overwrite your daily operational backup.

  1. Insert a USB drive or navigate to a dedicated archive folder on your network.
  2. In QuickBooks 2020, go to File, then select Back Up Company, and choose Create Local Backup.
  3. Select Local Backup and click Next.
  4. Click Browse and select your dedicated archive location.
  5. Verify that the box for Complete verification is checked, then save the configuration and run the backup.
  6. Clearly label this backup file (e.g., Company-Name-PreCondense-2020-Archive.qbb) and store it somewhere safe.

If you ever need to audit the detailed transactions from before the condense, you can always restore this specific archive file in a read-only capacity.

How to Run the Condense Utility

The actual steps to run the Condense Data utility are identical across QuickBooks Desktop Pro, Premier, and Enterprise editions.

  1. Ensure all other users are logged out of the company file, and switch QuickBooks to Single-User Mode.
  2. Click File, hover over Utilities, then select Condense Data.
  3. The wizard will launch. Choose the option to condense transactions Before a specific date, and enter the cutoff date you want to archive.
  4. Follow the on-screen prompts to select how you want condensed data summarized (typically, accepting the default summary journal entries is recommended).
  5. Read the warning screens carefully. QuickBooks will ask you to confirm that you understand the data will be removed and replaced with summary entries.
  6. Click Begin Condense.

The process can take quite a while depending on the size of your file and the speed of your computer. Do not interrupt the process or force-close QuickBooks while it is working.

Alternatives to Condensing

Because condensing permanently removes detail, it is worth considering less destructive ways to improve performance before taking the plunge:

  • Build a New File: Instead of condensing, you can start a brand-new company file for the current fiscal year, carrying over only your opening balances and unpaid invoices (AR/AP). This requires keeping your old file accessible for historical lookups, but it results in the fastest possible database.
  • Targeted File Repair: Sometimes, sluggishness isn't caused by legitimate file size, but by internal list damage, orphaned targets, or a bloated transaction log. If your file is under the theoretical size limits but still dragging, you may need professional QuickBooks Desktop file repair to rebuild the database structure without losing any historical data.
