QuickBooks Desktop SuperCondense Playbook: Prerequisites, Reports, and Cutoff Setup
Prepare a legacy QuickBooks Desktop company file for SuperCondense by gathering admin credentials, capturing F2 statistics, running verify, and assembling the required report package.
A SuperCondense reduces the size of a QuickBooks Desktop company file by removing transactions and list entries that fall before a cutoff date you choose. The result is a smaller, faster file that retains full detail from the cutoff forward, with historical balances carried forward correctly. Because the operation permanently removes data from the working file, our engineers require a specific set of prerequisites and reports before the file ever leaves your server. This playbook covers what to gather, what to check, and how to package everything for submission.
Confirm Eligibility and Scope
Before requesting the service, open the company file in single-user mode as the Admin user and press F2 (or Ctrl+1) to open the Product Information window. Capture a full screenshot that shows the file size, the lists counts (customers, vendors, employees, items), and the total transaction count. Note the QuickBooks edition and version year displayed at the top of that window. Confirm whether the file uses multi-currency, Advanced Inventory, or any Build Assembly transactions — and if so, how many. If inventory features such as FIFO, lot numbers, or serial numbers are enabled, document that as well. These details determine whether the file is a candidate for SuperCondense and allow our engineers to scope the job accurately.
Run Verify and Rebuild
The file must pass a clean Verify Data check before it is submitted. A file with structural damage will not condense reliably, and any existing corruption can be amplified during the process.
- With the file open in single-user mode, go to File > Utilities > Verify Data.
- If Verify reports no problems, proceed to the next phase.
- If Verify reports errors, run File > Utilities > Rebuild Data and then re-run Verify.
- If Verify still fails after a Rebuild, the file needs professional repair before SuperCondense can proceed. Do not submit a file that does not pass Verify.
Record the outcome of the final Verify run — either "no problems detected" or the specific error message — so it can be included with the submission package.
Set the Cutoff Date
The cutoff date is the line between data that will be summarized and removed (everything before it) and data that will remain in full detail (everything on or after it). Choose this date carefully, because the operation is irreversible on the condensed copy. Our recommendation is to select a date that aligns with a natural reporting boundary — the first day of the current fiscal year, or the first day of the most recent completed fiscal year if multi-year history is not needed for daily operations. Confirm the cutoff date in writing with all stakeholders who rely on the file before submission.
Capture the Required Report Package
The statement of work requires a specific set of reports that document the file's state at the moment of submission. These reports serve as the reference point for validating the condensed file after it is returned. With the file open and logged in as Admin, generate and export each of the following to PDF:
- Trial Balance — as of the cutoff date.
- Balance Sheet Standard — as of the cutoff date.
- Profit & Loss Standard — for the most recent full fiscal year prior to the cutoff.
- Customer Balance Summary — as of the cutoff date.
- Vendor Balance Summary — as of the cutoff date.
- Inventory Valuation Summary — as of the cutoff date, if inventory is in use.
Store these PDFs in a single folder named with the company file name and the cutoff date.
Create the Pre-Submission Backup
Create a full backup (File > Back Up Company > Create Local Backup) with no password on the backup file itself — the backup password and the Admin login password are separate, and the backup itself must be unencrypted for processing. Store the resulting .qbb file alongside the report package. This backup is also your rollback point: if anything goes wrong during condensing, the original file is preserved exactly as it was.
Assemble and Submit the Package
Gather the following into a single submission:
- The
.qbbbackup file. - The QuickBooks Admin password for the company file.
- The F2 / Product Information screenshot.
- The report package PDFs.
- Written confirmation of the cutoff date.
- Written confirmation that the file passes Verify.
- Details on edition, version year, multi-currency status, Advanced Inventory status, and Build Assembly count.
Use the secure upload link provided in your service engagement to send the package. Do not email the backup file or credentials.
Validate the Returned File
When the condensed file is returned, restore it to a local drive, log in as Admin, and press F2 to confirm the new file size and reduced list counts. Run Verify Data to confirm structural integrity. Then generate the same reports — Trial Balance, Balance Sheet, Customer and Vendor Balance Summaries, and Inventory Valuation — as of the cutoff date and compare them against the pre-submission package. The totals should match. A clean outcome is a file that opens faster, passes Verify, and carries forward balances that reconcile exactly to the reports captured before submission.
