In some installations the wording varies slightly, but the error code PS036 is always shown alongside a notice that the latest payroll update could not be downloaded or installed.
What the code means
PS036 is a payroll-service verification failure. When you send a payroll update request, QuickBooks checks the subscription status attached to your QuickBooks Desktop license and Employer Identification Number (EIN). If that check fails, the update is refused. The error is not a data-damage problem in the company file itself; it is a communication or account-matching problem between QuickBooks Desktop and the payroll service.
What triggers it
The most common triggers, in order of frequency our engineers see, are:
- Incorrect or stale Direct Deposit PIN. A mistyped PIN during the update attempt is the single most common cause.
- Expired or lapsed billing card on file. If the subscription renewal charge is declined, the subscription moves to a suspended state and verification fails.
- Mismatched EIN between the company file and the payroll account. The EIN in the file must match the EIN registered to the payroll service exactly.
- Outdated QuickBooks Desktop release. Running an older maintenance release can cause the verification handshake to fail.
- Damaged payroll-related files in the QuickBooks installation folder. Corrupt
.dator.inifiles used by the payroll service can block verification. - Multiple payroll subscriptions on one license. When more than one subscription is tied to the same QuickBooks license, the wrong subscription is sometimes queried.
How to fix it
Scenario 1 — Incorrect Direct Deposit PIN
- In QuickBooks, go to Employees > My Payroll Service > Account/Billing Information.
- Sign in and confirm the subscription shows as Active.
- Return to Employees > Get Payroll Updates and re-enter the PIN carefully.
- Retry the update.
Scenario 2 — Expired or declined billing card
- Open Employees > My Payroll Service > Billing/Bank Information.
- Update the payment method with a current card.
- Allow one business day for the subscription status to refresh, then retry the update.
Scenario 3 — EIN mismatch
- Press F2 to open the Product Information window and note the EIN shown.
- Compare it against the EIN registered to your payroll account under Account/Billing Information.
- If the company-file EIN is wrong, correct it at Company > Company Information.
- If the payroll-account EIN is wrong, update it through the billing portal.

Scenario 4 — Outdated QuickBooks release
